This Privacy Policy explains how Accurate Landscaping LLC ("Accurate Landscaping", "we", "us") collects, uses and protects information when you visit this website, contact us, receive text messages from us, or do business with us. It also covers the private back-office software we use to run our business.
Information we collect
- Contact information you give us: name, phone number, email address, and property address.
- Job information: the work requested, estimates, purchase order numbers, schedules, photos of the work site, and invoices.
- Payment records: amounts, dates and payment method types. Card and bank payments are processed by our payment providers (such as QuickBooks Payments and Square). We never store full card numbers or full bank account numbers.
- Contractor information (for people who work with us as contractors): name, address, W-9 status and only the last four digits of a taxpayer ID in our working records.
- Website data: this website does not use advertising cookies or tracking pixels. Our hosting provider may keep standard server logs (such as IP address and browser type) for security.
How we use information
- To prepare estimates, schedule and perform work, and communicate with you about your job.
- To create invoices, record payments, and keep accurate business and tax records.
- To send text messages to people who have agreed to receive them (see below).
- To meet legal, tax and accounting obligations.

Text messaging (SMS) program
Accurate Landscaping LLC operates a text messaging program used for internal business operations: job, estimate, invoice, receipt and scheduling updates between the company's owners/authorized team members and our back-office system. Only people who have provided their own mobile number and agreed to receive these messages are enrolled.
- Message frequency varies depending on job activity (typically up to several messages per day on busy days).
- Message and data rates may apply.
- Reply STOP at any time to stop receiving messages. You will receive one final message confirming you've opted out.

- Carriers are not liable for delayed or undelivered messages.
- We do not sell or share mobile numbers or SMS consent with third parties or affiliates for marketing purposes.

Our back-office software
We use a private software application (the "Accurate back-office bot") that only Accurate Landscaping LLC uses. With our authorization it connects to our own:
- QuickBooks Online company (Intuit) to look up customers and products, create invoices for our review, and read invoice balances;
- Microsoft OneDrive and Outlook account to keep job records and files and to save draft emails for our review;
- SMS provider (Twilio) to send and receive the text messages described above;
- AI provider (xAI) to read messages, voice notes and receipt photos sent by our team and turn them into records.
Data from these services is used only to run Accurate Landscaping LLC's business. It is not sold or shared with third parties for their own purposes. Sign-in tokens are stored encrypted. The software does not store full card, bank account, or Social Security numbers. You or we can disconnect QuickBooks from the software at any time; on disconnection the software stops accessing QuickBooks data.
How we share information
We share information only with service providers that help us run the business (for example accounting, payment, email/file storage, SMS and hosting providers), with our accountant, or when required by law. These providers may use the information only to provide services to us.
Security and retention
We use reasonable safeguards, including encrypted connections, access limited to the owners, and encrypted storage of sign-in tokens. We keep business and tax records for as long as required by law, and other information only as long as needed for the purposes above.
Your choices
You may ask to see, correct, or delete your personal information (subject to records we must keep by law), and you may opt out of text messages at any time by replying STOP. Contact us using the details below.
Children
This website and our services are not directed to children under 13, and we do not knowingly collect their information.
Changes
We may update this policy. The effective date above shows when it last changed.
